Billing Policy

Effective date: April 2026

1. Monthly Retainer Billing

K&H Synergy Media operates on a monthly retainer model. Your subscription fee is charged automatically on the same day each month, beginning on the date you first subscribed. All billing is handled securely through Stripe, our payment processor.

Your retainer fee covers a defined scope of service based on your selected plan tier. The exact deliverables and workload included in your plan are specified in your service agreement or the plan description shown at checkout.

2. Usage-Based Overages

Some service plans include AI usage limits (for example, a cap on agent tasks, video generations, or API calls per month). If your usage exceeds the included allotment:

  • You will receive an email notification when you reach 80% of your plan’s included usage.
  • Overage charges are calculated at the per-unit rate specified in your plan and billed at the end of your billing cycle alongside your regular monthly charge.
  • You may upgrade your plan at any time to increase your included usage allotment and avoid overage fees.

If no overage rate is listed in your plan, we will contact you before incurring any additional charges.

3. Upgrades and Downgrades

You may change your plan tier at any time through the Stripe Customer Portal, accessible from your client dashboard.

  • Upgrades take effect immediately. You will be charged a prorated amount for the remainder of the current billing cycle at the new plan rate.
  • Downgrades take effect at the start of your next billing cycle. You will retain your current plan features until the cycle ends.

4. Cancellation Policy

You may cancel your subscription at any time. We require 30 days’ written notice before your next billing date to avoid being charged for the following month. Notice must be provided via email to hector@khsynergymedia.com or through the cancellation flow in the Stripe Customer Portal.

Upon cancellation:

  • Your access to the client dashboard and active AI agent automations will continue until the end of your final paid billing period.
  • Any active workflows will be paused at the end of the final billing period.
  • Your account data will be retained for 90 days after cancellation and then deleted, unless you request earlier deletion or export.

5. Refund Policy

We offer a 7-day satisfaction window from the date of your first subscription payment. If you are unsatisfied with our services within the first 7 days, contact us and we will issue a full refund with no questions asked.

After the initial 7-day period:

  • No refunds are issued for monthly retainer fees once the billing period has started.
  • Overage charges are non-refundable once work has been executed by the AI agent system.
  • If a service outage on our end causes significant disruption to your workflows, we may issue a prorated service credit at our discretion.

Refund requests must be submitted to hector@khsynergymedia.com. Approved refunds are processed within 5–10 business days through Stripe.

6. Payment Failures

If your scheduled payment fails, Stripe will automatically retry the charge according to its standard retry schedule (typically 3 attempts over 7 days). You will receive email notifications from Stripe for each failed attempt.

If payment is not successfully collected after all retry attempts:

  • Your account will be suspended and access to the client dashboard and AI agent automations will be paused.
  • Your account will not be deleted — you may restore access by updating your payment method in the Stripe Customer Portal and settling any outstanding balance.
  • If an account remains in a failed-payment state for more than 30 days, we reserve the right to terminate the subscription.

To update your payment method, visit the Stripe Customer Portal link in your client dashboard, or contact us directly for assistance.

7. Pricing Changes

We reserve the right to change our pricing with at least 30 days’ advance notice sent to your account email address. If you do not wish to continue at the new price, you may cancel before the change takes effect and you will not be charged at the new rate.

8. Taxes

Prices shown do not include applicable sales tax. Depending on your location and the nature of services, applicable taxes may be added to your invoice as required by law. Stripe handles tax calculation and collection where applicable.
